Hiring Part-time Receptionist!

We are looking to add a part time receptionist / team member who will be reliable, hardworking and detail orientated in a fast paced environment. Must be friendly, able to multitask and work well with others. A positive, cheerful, warm attitude is a must! Must have receptionist experience, medical office experience preferred!
Part time position - Monday 4-7PM and Wednesdays 4-7PM and one Saturday a month from 830am-4pm. We need someone that can fill in for other front desk staff when they are on vacation or sick (these fill in days will likely be 8 hour days). Full time fill in will be needed at front desk from mid-December through mid-March. References will be requested after initial interview.

Candidate will oversee all functions that occur at the reception desk and be responsible for the cleanliness and order of the spa lobby and the reception desk. Successful candidate will possess excellent written, oral and communications skills, organizational skills, and be able to adapt to an ever-changing environment and handle multiple tasks in a calm, mature, professional manner. Computer skills essential.
Unlock and/or lock front door of spa at beginning of day/end of day - whatever is appropriate for shift. Punctuality and reliability is a MUST!
Greet clients warmly and effusively.
Communicate effectively with all clients one-on-one (and via telephone if needed) but efficiently to ensure that you are able to complete other job tasks.
Check clients into computer to alert clinical staff, handle client walk-ins, sales representatives, vendors, and be able to courteously/discreetly handle all situations that may arise at front desk reception.
File charts, pull files for next day’s clients, pull proper consents for next day’s clients and put in appropriate client files.
Enter new client information into computer, enter $25 referral information, create new files as needed.
Help with gift bags & gift certificates, gift supplies as needed.
Keep consents printed and stocked. Ensure consents are organized and easy for staff to access if needed.
Ensure that the reception/lobby area is neatly stocked with water/candy and proper brochures and that the reception desk & areas surrounding the desk is clean, organized and tidy. Reception desk must be kept with minimal clutter.
Observe standards for the spa in image, appearance, and grooming; properly represent the company and the profession to outside organizations, personal social media, and the community.
Maintain confidentiality of all client’s information.
Assist in other spa areas as needed. Cross train with other front office staff to assist when needed at checkout, answering phones, confirming appointments or with appointment scheduling.
Assist with any tasks listed on "Downtime" list.
Ability to communicate in English both in writing and verbally with clients, suppliers, and employees. Ability to handle the stress inherent in interacting with co-employees and resolving guest problems. Ability to work under pressure, be organized, self-motivated and work well with others. Strong positive attitude and ability to initiate light conversation with guests. Ability to provide legible communication. Ability to complete work in a timely, accurate and thorough manner.
Minimum Education & Experience
High School Diploma or GED required
Office 365 – specifically Outlook and Word
Full-time employees are offered medical coverage.
One hour paid lunch if working a full day. Paid 30 minute lunch on Saturdays.

Pay is commensurate with experience. Starting pay is $12-$16 hour.
